Appointment Reminder SuccessWe’ve been a customer of PhoneTree for approximately five years. Prior to that, our office staff called patients daily to remind them of upcoming appointments. What a waste of time that was! Making the decision to allow PhoneTree to do the dialing for us ranks among the top positive decisions made by the practice in the six years I’ve been the practice manager at GFA.

When all three of our providers are here, we see in excess of 100 patients daily. PhoneTree makes us much more efficient and allows the staff to focus on other tasks, eliminating the need to use approximately 3-4 hours per day of a staff person’s valuable time.

Better customer service through appointment remindersPhoneTree has definitely helped us add to the "Wow!" factor we attempt to provide patients. Using PhoneTree for reminder calls has freed our call center representatives to actually answer phones — this keeps more reps on the phones, thus drastically reducing hold times for patients. This also reduces complaints, which makes my job much easier — and most importantly, the patients much happier.

Additionally, PhoneTree doesn't make the usual human errors — no more incorrect times given to patients. We even have documentation of the calls when there's a dispute as to whether or not the patient was given a reminder.

We've now started using PhoneTree for commercial/marketing calls. This was first to contact patients in need of mammograms. It was amazing the impact it had on our number of scheduled appointments. We tracked how many of these patients actually came in for appointments and could not believe the results.

One last thing — I've been impressed with PhoneTree's customer service. We pride ourselves on being a technologically advanced practice. And in dealing with various vendors, we've found PhoneTree to be one of the best in regards to response time and friendly representatives.

Success with appointment reminders and lab results notificationIt’s hard to remember what it was like without PhoneTree – that is, until you don't have it. We’re a six-physician OB/GYN clinic. We have eight phone lines and utilize PhoneTree for outbound calls to remind patients of appointments. This saves the front desk staff approximately two hours per day. We use PhoneTree to call our patients and remind them to call and make appointments (repeat pap smears). This saves us about $150.00 per month in postage alone because we use to send post cards.

We also use PhoneTree Lab™ for laboratory results. This has saved my front desk staff and triage nurses a ton of time answering the phone and talking with patients that just want to know their results. Patients can call in and get the results themselves when it is convenient for them. We had a week when a box got unchecked and our results weren’t flowing over to our PhoneTree system. We were getting all of these phone calls and the staff wanted it corrected immediately. They truly appreciate all that PhoneTree does for them.

Reduced no-shows through automated appointment remindersWe implemented PhoneTree to remind patients of their upcoming appointments. The number of failing appointments has been reduced to almost half of what it used to be, and the status reports provided by PhoneTree have been very useful tools for updates on patient demographic information. We’ve also been very successful on recalling patients for various reasons through PhoneTree.

We’ve even been able to trigger some populations we want to interview — we upload our patient report into the PhoneTree system, and our centralized call center gets to the patients from the process set up in PhoneTree. We were able to set up our voices in the recordings, making the process very user-friendly to the population we serve. Appointment confirmation making a positive differencePrior to PhoneTree we had a staff member calling all of our patients prior to their appointments.

We were short-staffed, with a lot of staff turnover, and needed time to perform other important tasks in the practice. Now, in addition to reminding patients of their appointments, we also tell them other important information. We just make a couple of clicks and PhoneTree does the rest. It’s great and very easy!

We’ve seen a significant improvement over the live-person phone calls that our staff was making.

We have patients confirm their appointments by pressing a number on their telephone keypads. This makes it easy to fill vacant appointments when we know other patients aren’t coming in — and PhoneTree is helping us bring in revenue. That is very beneficial to us.
