 Answering Machine



Use this when you want to have your PhoneTree® act as an answering machine when it's not calling. The messages people leave for you will appear in the list, and you can choose one and use the Play button in the upper left to listen to it. Click the black microphone icon labeled Record to record your greeting (click here for more information).

If you receive a message you'd like to save, click the Archive button, then click the Saved messages radio button to view and play your saved/archived messages. The PIN Code can be set in order to allow you to check your messages remotely. See below for details. Note: As with other automatic features that involve outbound or inbound calls, this Answering Machine feature will not work unless you leave your PhoneTree® software in the CallCenter when you want to use the feature. See the PhoneTree® manual for a complete list of features that require PhoneTree® to be in the CallCenter in order for the features to work.

In addition, you will need to set at least one of your phone lines to Answer calls only or Line may answer when not making calls on the Configure Phone Lines dialog; click here for details.

Checking Messages Remotely
  1. As mentioned in the Note above, you will need to leave your PhoneTree® in the CallCenter anytime you would like to check your answering machine messages remotely, and at least one of your phone lines will need to be set to handle incoming calls. Also, make sure you have the checkbox next to Enable checked!
  2. From any touch-tone phone, call the number for the line that PhoneTree® is connected to.
  3. After the greeting, you will hear "Please press 1 to leave a message, or pound (#) to exit." Press 9 on your telephone keypad.
  4. Now you should hear "Please enter your PIN code, followed by the pound key." Enter the PIN code you set on the above screen, then press the pound (#) key.
  5. Next you will hear "You have __ messages. Press 2 to play, 3 to delete, 7 for previous item, 8 for next item, or pound to hang up." Pressing 2 will play the first message. Press 8 to go to the next message. After listening to any message, press 3 to delete it.
  6. When finished listening to the answering machine messages, press pound to hang up. You can also check your messages from the PhoneTree® machine as shown above.
