Software Questions Setup and Installation When I receive my MVP boards for my computer is there anything that I should do other than snap the boards into place? Review Pages 1-5 of the MVP manual to insure that the jumper settings are correct and to insure that the boards are daisy-chained properly with wire jumpers. Careful handling of the MVP boards is a must as with other similar electronic components. Top of Page I've set up my MVP, installed, connected and configured everything but all 4 of my phone lines report being busy—how can I solve this problem? The "Busy" signal being reported for each phone line can be the result of a loose connection, bad telephone wall jack, other devices being connected to the telephone line(s), frayed wires, and can be caused by adding more than one character to the prefix box such as *(star) 62. Check each PhoneTree® to insure that only one number is placed in the prefix box and if other numbers are required; add them to the L1, L2, or L3 library file box. Top of Page PhoneTree® MVP is not recording messages; what could be wrong? Connect both the PhoneTree® MVP MIC and Speakers to the MVP Carddo not connect the speaker and microphone to the computer's sound card. Top of Page I have installed MVP and am trying to record a message and it keeps saying "You do not have a file selected to record"how do I select a file to record? Click on SETUP, select VOICE MENU, then select "FILE" in the upper left hand corner of the Voice Menu Screen and then select New Voice File. Top of Page Settings/Preferences PhoneTree® MVP calls only half of my list each time and states that half the calls are not completed. Under each PhoneTree® within MVP, settings can be made and changed to specify what days to call, what hours to call, plus much more. Operators of the MVP system should insure that each PhoneTree® be give an appropriate number of hours and/or days to call, given the capacities available and the overall task assigned. Increasing or decreasing call setting variables can either increase or decrease overall call session time. Top of Page PhoneTree® MVP stops calling when it is supposed to stop, but it starts out the next day calling the same people instead of calling the remaining numbers on my list, what's wrong? Disable the "Auto Call Each Day" feature under the Call Options of Settings of each PhoneTree®. The "Auto Call Each Day" option can be used for repetitive calls such as with the calling of home-bound persons, senior's groups and the like. Top of Page Messaging/Capability How do I test Remote Access on my PhoneTree® MVP? Close down all of the PhoneTrees in MVP and go to the PhoneTree® that you have enabled to receive incoming calls and open that PhoneTree®. Once you open the correct PhoneTree® , click on the "CALL" menu button at the top of your PhoneTree® page, then click on "Resume." Once the call page appears on your screen and PhoneTree® states that it is waiting for a call, then a remote test call can be made to PhoneTree® MVP. Top of Page When I make a call there is no message played after the greeting. If the message was recorded and still does not replay, check the microphone and speaker connections to insure that each is firmly plugged into the number 1 MVP board. If there are more than one MVP boards installed in your computer, insure that MVP Board #1 has its SPK (speaker) jumper in the "on" position and on the other boards, the SPK jumpers in the off position. See page 1-5 of the MVP Manual. Top of Page I have a three-line MVP system, but only two lines are working when PhoneTree® calls. On the main page of MVP, click on Configure and then click on Phone Linescheck each phone line tab to insure that all lines are installed. If all lines are installed but one line is still not working, check the line connections and connection plugs to insure that there are no loose connections or bad connectors. Top of Page I'm conducting a survey; can PhoneTree® receive voice responses? PhoneTree® does permit a user to call, survey and receive replies, and allows the receiver of your call to press zero to leave a message or other information via a message in the built-in mailbox, transfer to an extension within your system, transfer to the (optional) PhoneMate telephone/answering machine or transfer using 3-way calling (available from your phone company). Pages 4-8 to 4-10 of the PhoneTree® MVP Manual provide additional details on these MVP features. Top of Page When customers respond to my calls they say that they do not hear a mailbox message from me, how can I record a message for this purpose? Within the PhoneTree® that you are planning to use, click on Tools, then click on Mailbox Messages and proceed with recording your greeting message. Top of Page How can I use the More Info Message feature in PhoneTree® MVP to give additional directions on request? Go to the individual PhoneTree® (s) that you will be using and under SETUP click on Call Options, then click on the More Info Tab and record a messagebe sure to indicate in your message that the POUND (#) must be dialed to hear more information (for example, say "for directions, please press pound now"). Top of Page Timing/Call Sessions PhoneTree® is not calling on days that were programmed. Click on Settings, then click on Call Options and review the days and times set for calling. PhoneTree® MVP has 16 PhoneTrees. Each can be set up independently of each other and make calls at different times, dates and to different persons. Top of Page Software Can I use other software applications while PhoneTree® MVP is making calls? Though it is possible to multi-task, you should be aware that processor intensive programs MAY cause your PhoneTree® messages to stutter or cause problems in voice/answering machine detectionso test carefully to be sure your application can run with PhoneTree®. In general, the more lines you are running, the more likely you are to encounter message delivery problems. The PhoneTree® MVP software is a very processor-intensive application and requires that it be in a CALL MODE while making calls. Additionally, the remote access feature on PhoneTree® MVP requires that it be in a CALL MODE while remote calls are being received by MVP. When PhoneTree® MVP is not being used for calling and for remote access, then other applications could be run on your computer. Cautionany application that is "minimized" or in a TSR status may impact on the operation of PhoneTree® MVP when MVP is in a "Call Mode". For Windows® 95 and 98, press CTRL-ALT-Delete (at the same time) to bring up the Task Screen to see what programs are active. Top of Page Can I run PhoneTree® in a "minimized mode" while using other applications? The PhoneTree® MVP application must be in a CALL MODE while making calls and receiving remote calls. Running other applications while Phone Tree is in a minimized mode will not allow PhoneTree® MVP to utilize the computer's full potential to make the scheduled calls. See prior question also. Top of Page Have there been updates or upgrades to my MVP software since I received my copy? PhoneTree® MVP software has been upgraded several times since its introduction and free upgrades to the MVP software are available for existing owners of PhoneTree® MVP on the MVP Downloads page. The most recent upgrade replaces all previous upgrades while maintaining your data integrity. Top of Page I cannot see all of the main page of PhoneTree® MVP as shown on page 2-2-2 of the manual. Right-click on the desktop screen, click on Properties, then under Display Properties click on the settings tab. Change the "screen area pixels" to a minimum of 800X600 pixels to resolve the problem of not seeing the full screen. Top of Page What is meant by "active machine message" as found in the Voice Menu section under SETUP of each PhoneTree® ? An ACTIVE MACHINE MESSAGE is a special message you can record to be given when PhoneTree® detects an answering machine has answered the line (versus a live person). Top of Page What is the Auto Resume used for? Pressing the auto resume box on the lower left side of the main page acts like a toggle switch stopping and resuming PhoneTree® calls. With Auto Resume ON, PhoneTree® will automatically return to the calling screen to complete your calls after you stop using the PhoneTree® program for five minutes. Top of Page The database file that I imported includes a "1" and the area code for each number; how can I get rid of the "1" and area codes when I don't need them? Under the Main Page Click on Tools, then click on Dialing Translator Setup to complete the SIMPLE method if editing area codes which involve identifying area codes that will and will not need the prefix "1."
