Easy Communication
HealthWave Hosted automatically sends a combination of phone, text and email messages to your patients. Easy configuration allows you to control what type of message you are sending. All messaging ensures your important messages get through to every patient in the way that they wish to be contacted.
Works with your Patient Management System
HealthWave Hosted turns your meaningful use data into patient-specific messages that convey exactly what each patient needs to know. This could include appointment time, day and date, special instructions based on appointment type, location and provider specific information, direction and contact information.
Custom Messaging
Use HealthWave Hosted to create custom messages that include individualized information for each recipient. Each variable field ties to a piece of information that is imported along with the name and phone number of each individual in your file. Record each message component in your own voice for a smooth flow.
Multiple Applications
HealthWave Hosted will meet the communication needs for any practice specialty of any size. Some available applications are recalls, collections, missed visits, well-being schedule, new services, holiday hours, weather notifications, preventative medicine services, pre- and post-care instructions and appointment reminders.
Messaging Options
Advanced Text Messaging
Send SMS text messages to anyone. This enables you to contact your patients with an alternate method of communication.
Selectable Calling Times, Days and Dates
This option allows you to choose exactly when you want the job to begin and end; increasing the accuracy of connecting with your patients.
User-Configurable Caller ID
HealthWave Hosted lets you specify multiple Caller IDs based on practice, location, appointment type or even provider to assure patient callbacks are directed to the right person on your staff.
Call Transfer
HealthWave Hosted can ask the patient to “press 0 to transfer,” and be routed to virtually any phone number within your practice based on that patients demographics – assuring they reach the right person without additional transfers or delays.
Touch-Tone Replies for Response
You can set up to four different prompts that allow patients to respond to a message using their touch-tone. This provides an opportunity for patients to immediately reply; increasing your office efficiency.
Multiple Appointment Management
If a patient has more than one appointment in the same day, you have the option to either call for the first appointment only or call for each individual appointment. When more than one person at a single phone number has appointments for the same day, you can choose to call each patient separately, or combine family appointments into one call.
Text-to-Speech
Realistic NASA approved text-to-speech technology is available for your messages, and is perfect when you want to include information in your messages that can’t be recorded individually such as the patient’s first name, date and time.
Flexible Multi-Lingual Messaging
Automatically deliver messages in multiple languages or allow your call recipients to decide which language they’d prefer. This allows you to increase patients’ understanding of your communication.
Leaves Messages on Answering Machines
HealthWave Hosted automatically detects an answering machine and without hesitation it leaves a message directly after the beep. Jobs of all sizes are delivered in an optimal amount of time.
Press Star (*) to Repeat Message
Hear your message again from the beginning by pressing the star (*) key. This enables your patients to repeat the whole message if necessary.
Automatic Blocked Numbers
Supply your list of patients that do not wish to be contacted and HealthWave Hosted will keep them on a permanent do not contact database. HealthWave Hosted automatically integrates this information into each import.
Call Wizard (Guided Message Creation)
The Call Wizard is designed to walk you through the advanced messaging options. If you choose to create your own message this gives you the flexibility to do so.

Automate your Tasks and Reports
Automate many of the common HealthWave Hosted operations, including the initiation of a call job, the importing of a contact file, or the printing of a call result list. Set macros to trigger with the appearance of a file in a folder—or at a certain time of day. Set reports to run automatically too—and print or email them to one or more recipients as part of the macro. Never forget to save a report again—it’s all done for you.
Simultaneous Messaging
This allows you to send out multiple jobs at one time, providing you the ability to reach multiple patients for multiple reasons.
Alternate Phone Numbers
Tell HealthWave Hosted to switch to an alternate phone number if nobody picks up at the first (main) phone number. This allows you to maximize the attempt to reach a person.

Advanced Reporting
Daily progress reports are generated each day for all call jobs. Reports can be sorted by any criteria and printed, emailed or saved electronically. These reports allow you to see the results of how each call was handled.
Email an Electronic Appointment to Microsoft Outlook®
This option allows you to send both an email appointment reminder and an attachment containing the calendar reminder, which puts the appointment on the recipient’s Microsoft Outlook® calendar (or other calendar programs).

Easy Importing from Your Software
HealthWave Hosted imports files in many common formats, and includes translators to accommodate the not-so-common ones. If your data includes special information about your patients, it can be imported into HealthWave Hosted and incorporated into a personalized patient message. This process bridges the information from your practice management software to your patients.
Account Monitoring
HealthWave Hosted provides mechanisms to monitor your account activity to confirm your outgoing messaging. Examples are confirmations and notifications of job submissions and completions, as well as alerts to notify that a regularly expected job did not submit. This ensures your messaging is always reaching your patients.

Date and Time Spoken in Multiple Languages
Included in your HealthWave Hosted installation are the files needed to provide male and female time and date messaging, spoken in French Canadian, Greek, Japanese, Korean, Spanish, Thai and Vietnamese. Other languages are available upon request. This allows you the flexibility to meet the messaging needs of all your patients.
